Outlook Calendar

Connect Outlook Calendar so your AI agent can check your availability and book appointments during phone calls.

What It Does

  • Checks your calendar — The AI agent sees when you’re free and when you’re busy
  • Books appointments — When a customer wants to schedule, the agent creates a calendar event
  • Two-way sync — Appointments booked by Akol show up on your Outlook Calendar instantly
  • Works with Microsoft 365 — Works with both personal Outlook and business Microsoft 365 accounts

How to Connect

Open Integrations

Go to Dashboard > Integrations and find Outlook Calendar.

Click Connect

Click the Connect button. You’ll be redirected to Microsoft’s sign-in page.

Sign In and Authorize

Sign in with your Microsoft account and grant Akol permission to access your calendars.

You’re Connected

You’ll be redirected back to Akol. The integration is now active.

How It Works During Calls

When a customer asks to schedule an appointment, here’s what happens:

  1. Your AI agent checks your Outlook Calendar for open time slots
  2. It offers available times to the caller
  3. The customer picks a time
  4. The agent creates the calendar event
  5. The customer gets a confirmation

Example calendar event created by Akol:

HVAC Inspection — Jane Doe Wednesday, February 12, 10:00 AM – 11:00 AM Location: 456 Oak Street Notes: Annual furnace inspection. Customer mentioned the unit is 8 years old. Phone: +1-555-987-6543

Settings

Choose Your Calendar

If you have multiple Outlook Calendars, pick which one Akol should use.

  1. Go to Dashboard > Integrations > Outlook Calendar
  2. Click Settings
  3. Select your preferred calendar
  4. Click Save

Set Appointment Length

Choose the default appointment duration:

  • 15 minutes
  • 30 minutes (default)
  • 45 minutes
  • 60 minutes

Time Zone

Outlook uses your Microsoft account’s time zone setting. Make sure it matches your business location.

Troubleshooting

If your company uses Microsoft 365, your IT administrator may need to approve the connection.

  • Contact your IT admin and ask them to approve Akol
  • Or use a personal Microsoft account instead

Appointments Not Showing

  1. Wait 30-60 seconds — syncing can take a moment
  2. Check that you selected the right calendar in settings
  3. Make sure the appointment is for a future date

Connection Stopped Working

  1. Go to Dashboard > Integrations > Outlook Calendar
  2. Click Disconnect
  3. Click Connect again and re-authorize

Connected the Wrong Account

  1. Disconnect the integration in Akol
  2. In your browser, sign out of Microsoft
  3. Reconnect and choose the correct account

Tips

  1. Create a dedicated calendar — Keep Akol appointments separate from your personal events
  2. Check your time zone — Make sure your Microsoft account has the right time zone
  3. Add buffer time — Leave gaps between appointments in your business hours settings
